Handoff Template
A handoff template for snag items, cure status, access restrictions, cleaning notes and post-install floor care.
How the Handoff Template fits a live plant week
Handoff Template records the floor details that matter at close-out. It includes snag items, cure status, access limits, cleaning notes and the care instructions needed after installation.
Start the handoff record with the exact area, the shutdown or restart date, and the current cure condition of each repair section. South African sites often need notes for dust contamination, coastal humidity, forklift traffic and power interruptions because those factors change when a coated or patched surface can take loading. Record what is blocked off, what can be walked on, and what must stay out of service.
Photograph the work area at close-out while barriers, signs and repaired sections are still visible. The template works best when it captures bay numbers, joint lines, drain positions and any snag item that still needs return access. That file gives maintenance, production and cleaning teams one shared record after the contractor leaves site.
Close-out details to capture
The handoff sheet is there to pin down cure times, restricted zones, cleaning method and outstanding defects in plain plant language. Include what material was used, where it was installed, and whether traffic must stay to a defined route after the job. A short, accurate record is more useful than a long close-out note that leaves operations guessing.
Link the handoff sheet to the relevant project photos, test results and any earlier repair notes before filing it. Note whether patching, coating or joint work was attempted in the same location before this visit, and add the latest area image to the contact form. Site names, bay references and shutdown dates should match the handover record exactly.

Plant conditions affecting handover
A Gauteng distribution site may need loading access back before every repair has reached full hardness, so the template must separate pedestrian use from pallet jack or forklift use. In Durban and Cape Town, moisture and wash-down routines can affect coating cure and the first cleaning cycle after installation. Record each restriction against the actual plant area, not against a vague site-wide note.
Dust from dry inland operations can settle onto uncured work and should be noted if a return clean is required before release. Coastal plants may need extra detail on slip risk, standing water and the timing of the first scrub. If load-shedding changed the work sequence, capture that in the handover so maintenance can read the record against the shutdown log.

What the template should name
Use the handoff sheet to record floor photos, shutdown dates, access rules, and any patching, coating or joint repair that has already been tried. Keep the email subject clear and site-specific.

List the plant name, work zone, installer, handover date and the person receiving the area. Add snag items, barrier removal timing, approved cleaning products and any monitoring check due after reopening. That keeps the close-out file usable for audits, maintenance planning and later repair comparison.
