Partner Note
A grounded partner note covering installers, specifiers, suppliers and the way project information should move between them.
What a Partner Note looks like on a live plant week
Partner Note sets out how project information should move between installers, specifiers and suppliers. It keeps roles clear so drawings, floor-system choices and site updates do not get lost between parties.
A Partner Note should identify every party touching the site information chain. Name the installer on shift, the specifier holding the drawing issue, the supplier linked to the coating or marking product, and the plant contact who can confirm shutdown windows. In Gauteng, KZN and the Cape, weather, dust and power interruptions can change access and curing conditions, so those conditions need to be stated at the start.
Include dated photos of the area before prep, masking or wash-down begins. Add the bay name, line name or dispatch zone used on site, not an internal nickname from email traffic. When handover moves from day shift to night shift, that record helps the next crew see what was approved, what was rejected and what must stay untouched.
Information that must travel
The note should carry the exact drawing reference, the selected system, the area measurement being worked to, and any restriction on access equipment. List what is still pending, such as substrate moisture checks, line-marking colours or curing protection around traffic. A short, exact note prevents the wrong revision being used beside active production.
Send the Partner Note with the current drawing issue and the latest site photos before extra scope is discussed. If a test patch failed, state where it was placed, what product was used and who saw the result. The contact form can be used to pass the same record when email threads have split between procurement, site staff and suppliers.
- Named contacts for each project role
- Current drawing issue and marked area
- Related: Systems, Plant plays, and Floor notes
- Photos showing prep, access and damage
Site conditions worth stating
A note for an East Rand warehouse does not read like one for a coastal food plant. Moisture near Durban, abrasive dust on the Highveld and restricted delivery access in Cape Town industrial areas can each affect prep methods, coating choice and when crews can enter. If forklifts, pedestrian lanes or hygiene rules limit the work zone, put that in writing.
State whether the substrate is old concrete, repaired screed or a coated surface with unknown history. Record any wash-down routine, chemical exposure, tyre traffic and cleaning method used in the area. Where load-shedding changes ventilation, lighting or plant stoppage, the note should reflect the revised inspection or application window.

What to attach to it
Send a Partner Note with floor photos, shift timing, product handled, and any coating, marking or access method that has already not worked. Use a plain subject line.

Attach the latest marked-up plan, a few clear photos, and a short list of products handled in that zone. Add any method that failed before, such as a coating that lifted, tape that would not hold, or markings lost under wash-down. That gives procurement, site teams and suppliers one record to file against the job.
